Re: Lacy-Bomar Awards of Excellence and Club Bulletin Awards for the Year 2007 2008
Within our district are many worthwhile service projects that have benefited thousands of people during the year. Hundreds of Rotarians have been involved, both here and abroad. The District Awards Committee plans to present Lacy-Bomar Awards of Excellence, which honor Past Rotary International President James L. Lacy of the Rotary Club of Cookeville and memorialize Past Rotary International President James L. Bomar, Jr. of the Rotary Club of Shelbyville.
- Plaques for first, second, and third place will go to clubs for excellence of projects in each of the following Avenues of Service: Vocational, Community, and International.
- Fundraising Projects are not considered under Community Service Projects. If your club has initiated a new, unique fundraiser, or has an unusually successful fundraiser, you may submit that project for consideration in the special category of Fundraising. Awards under this category are given at the discretion of the committee each year. There may not be awards given under this category every year.
- The District Awards of Excellence Committee also plans to award first, second, and third place plaques for both printed club bulletins and for electronic club bulletins. Clubs are encouraged to send or bring as many copies of paper bulletins as possible to the district conference, whether they are entered in the competition or not, to share with other clubs. One of the most interesting aspects of the awards this past year was the sharing of ideas for Rotary Club Bulletins. Clarification: for the purposes of awards, the definition of an “electronic” bulletin is one that is not merely an attachment to an e-mail. Rather an electronic bulletin is one that is delivered in finished form to a recipient’s inbox. A bulletin that is a Word, Acrobat or other format document that is attached to an e-mail is considered a print bulletin.)
- The Awards Committee may make other awards for projects of unusual or special merit.
The award winners and all other entries will be displayed at the Rotary Multi District Conference, April 18 19, 2008, to be held in Nashville. Any and all extra bulletins are encouraged to be displayed for other clubs to pick up and take back to their respective clubs for ideas and inspirations. This has proven to be quite a popular idea.
Each club is encouraged to submit entries in each award category. Submitting a project for award consideration is a great way to recognize all the Rotarians who give of their time and resources to make these projects happen to better the lives of others. It is also a great way to share project ideas, and let other clubs know what your club has done during this Rotary year. The district goal is to have 19 projects submitted to the District Awards of Excellence Committee for consideration of an award.
Lacy-Bomar Awards of Excellence
Documentation of projects submitted for the Lacy-Bomar Awards must be postmarked by
Monday, March 17, 2008, and sent to Mickie Ratliff, 630 Topside Drive, Sevierville, TN 37862 for consideration for an award.
Submissions are to have a COVER SHEET with the following information:
- Name of the Rotary club and the president;
- The maximum number of members in the club during the project;
- The name, mailing address, telephone numbers, and electronic mail address of the project contact person;
- The Avenue of Service award category entered (Community, Vocational, International, Other)
Documentation of projects must be in hard copy, such as notebook or scrapbook form. It is suggested that photographs, copies of letters and flyers, as well as narrative be included. Other media, such as video, CDC, PowerPoint, etc. cannot be accepted.
Documentation content must include the following:
- A description of the project including beginning date and ending date or anticipated ending date and chronology of activities (Project must be expected to be completed during the current Rotary year);
- The goals and objectives; accomplishments (i.e., project results);
- The number of club members participating and how they participated (i.e., assisted in planning, gave money, did physical work, etc.);
- Amount and sources of funds and other contributions obtained;
- Any other information that illustrates “Service Above Self” of the club members.
- Each entry should contain documentation of only one project. Clubs are welcome to submit as many projects as they wish, so long as each project is done as a separate entity.
The District Awards Committee will be looking for the quality of the project and complete, clear, and concise documentation.
Submissions for the Lacy-Bomar Awards are to be evaluated on the following criteria:
- Impact of the project on the individuals served (What needs were met?) 60%
- Extent that all club members and others who collaborated were involved 20 %
- Originality of project (Is this a continuing project or a new one that meets needs that haven’t been met before?) 10%
- Presentation and appearance of documentation 10%
Club Bulletins
Submissions for both printed and electronic club bulletins, two January bulletins, two February bulletins, and one March bulletin must be postmarked by Monday, March 17, 2008, to Mike Griffin, 407 Ferncliff Drive, Signal Mountain, TN 37377 (Email: mjgriffin@ftb.com) to be considered for an award.
NOTE: If a bulletin is published in both electronic and print formats, the club must specify which category the bulletin is submitted for. If there is no specification, the committee will assume it is a print bulletin submission.
Club bulletins as to content will be evaluated as follows:
- Information about the club (service projects, member news and recognitions, budgets, etc.) 30%
- Information about past, current, and upcoming programs and speakers of the club 20%
- Information about Rotary International, including The Rotary Foundation 20%
- Information about activities within the district, including items from the district governor’s newsletter 10%
- Appearance (attractiveness, formatted so that it is easily read and attracts readers) 10%
- Other (community news, is a new industry coming to the area; anecdotes; inspiration; humor) 10%
It is strongly suggested that each club obtain and study a copy of the RI 24-page publication # 605a-EN,
Communities in Action: A Guide to Effective Projects. It may be downloaded from the www.rotary.org website

Rotary International for $3.00 plus shipping and handling.
